The workflow and communications functions in many accounting applications are tied to specific transactions, and many don’t incorporate the entire process workflow. This is particularly true for processes that result in multiple actual accounting transactions being recorded. For example, payroll processing can require steps in multiple systems:

1) Collect timecards or leave usage data from time & attendance systems or employee timesheets
2) Input or import time & attendance data into the payroll system
3) Process payroll in the payroll system
4) Record cash disbursement for net payroll amount in the cash disbursements module
5) Record journal entries for payroll liabilities in the general ledger module
6) Schedule/process payroll related liability payments (e.g. via accounts payable, one transaction per vendor or taxation entity) in either accounts payable or cash disbursements modules.
7) Archive the payroll processing reports and records in paper files or document management system.

By using workflow systems as a “wrapper” to encapsulate each individual transaction within a single workflow stream, accountants can better ensure the completeness of transaction processing. Communications features in many workflow systems also capture and centralize the “conversation” around transactions with the workflow, rather than in individual people’s e-mail folders.
